CCERA Rental FAQ
How long is the rental?
You have access to the rental hall from 7am – midnight on the day of your event. There is a lockbox that is accessible on your date for keys to the hall, gate and dumpster.
Are there tables and chairs?
Yes. We have about 200 metal folding chairs. There are about 12 round 5ft tables and about 9 rectangular 6ft tables. The tables and chairs are available as a courtesy and not a part of the actual contract. If you would like to rent or bring your own tables and chairs that is allowed.
What is included in the hall rental?
CCERA stocks toilet paper, hand soap, bathroom paper towels, and replacement trash bags. We also stock cleaning supplies, fresh mop and broom heads, cleaning bucket/wringer, floor cleaner, Lysol wipes and toilet cleaner.
There is full kitchen access with two refrigerators/freezers, deep sink, gas stove/oven, microwave and small toaster oven. We have separate men’s and women’s restrooms available for use with baby changing tables in both. There is a water fountain. Our property has plenty of parking spaces with three lots for use. There are also three large trash cans inside with a dumpster on site.
Is set up and clean up included?
No. Set up and clean up are your responsibility. It is important that you allow enough time to clean before midnight. Part or all of your security deposit can be held if the hall is not left in proper condition. If you need more time to set up there is an early entry fee option. Early entry is only offered the week before your rental as long as no one has reserved the hall the day before your event. If you pay the fee, you will gain access at 4pm the night before your original rental.
Clean up required includes the Hall, parking lot and the grounds, and includes:
-Cleaning, breakdown and return of all tables and chairs to their storage locations;
-Removal of all decorations;
-Removal of all trash to the dumpster;
-Sweeping and mopping of floors (including kitchen and bathroom floors);
-Cleaning of toilets, urinals and sinks in the bathroom;
-Cleaning the sinks, stove and refrigerator in the kitchen;
-Removal of all trash/debris from the parking lot or grounds; and
-Any other clean up as necessary
Can we have alcohol?
Yes. The county requires you to acquire a one-day liquor license if you are to have alcohol on the premises. You can acquire the liquor license at https://www.aacounty.org/board-of-license-commissioners. You must have your license posted and present during your event.
How many people can we have at the hall?
By mandate of the fire marshal the maximum capacity for events with tables and seating is 150 people. The maximum capacity for only chairs or standing is 275 people.
What is not allowed?
We do not allow smoking inside the hall. No fog machines are permitted. Nothing is allowed to be hung on the walls or ceiling. No illegal activity, such as gambling, as well as prior ticket sales, or ticket sales at the door. Sponsorships and advertising are prohibited. Security personnel or weapons of any kind are prohibited on the premises.
Can I rent the pool?
Our pool is only available to rent if you have been an active member for more than 1 year. If you are an active member, the pool is available for private parties after hours. 8pm – midnight. Lifeguards must be present for the full duration of the party and have authority to remove guests or end the event if rules are not being followed.
Noise regulations: CCERA Hall and Pool is in a residential area. We expect that renters will conduct themselves in a manner which will not disturb others.
Per the Code of Maryland Regulations (COMAR) 26.02.03, noise levels at the edge of the property line must not exceed 65 dBA from 7:00 a.m. to 10:00 p.m. and 55 dBA from 10:00 p.m. to 7:00 a.m. Additionally, the Anne Arundel County Code prohibits noise at an unreasonably loud volume between 11 p.m. to 7 a.m. Renters warrant that he/she will meet these conditions
in every respect, and acknowledge that failure to do so will be grounds for loss of security deposits with no further recourse.
How does the security deposit work?
You must pay the security deposit in cash the week before your event. There will be a full inspection after your event. If all is in satisfactory condition and all cleaning procedures have been performed, your deposit will be refunded to you within 7 days of the event. The security deposit may not be returned in full due to damage or any lack of cleaning or for other reasons set forth in the contract.
When are payments due?
To reserve your date, you must complete the contract and pay at least half of the rental fee as a down payment. If there is a balance of the rental fee it must be paid in full the week before your scheduled event.
What is the cancellation policy?
If you cancel your booking less than 30 days prior to the event, a cancellation fee of one half of the total rental amount will be held by CCERA.
CCERA reserves the right to cancel for any reason. Should CCERA cancel prior to the event a full refund will be given.
In the event of inclement weather, CCERA does not have the ability to plow or salt the parking lots. Therefore, if the lots are not able to be accessed safely, as determined by CCERA, the event will need to be moved to an available date.
Is an insurance policy required?
No. Insurance policies are not required but CCERA’s insurance policy does not cover damage to renter’s property caused by vandalism, fire, weather, or any other cause. If you wish to protect your event, you are responsible for obtaining a rental insurance policy (obtained through Renter’s own agent) for the period of time that personal property associated with their event will remain in/on CCERA property.

Requirements:
Renters must be 21 or over and provide valid identification. The signer of the contract must remain on the premises for the duration of the event.
